How to Create Payment Method in Swiftly Workspace

Step 1: Accessing the Payment Method Configuration

Let’s begin by opening Swiftly Workspace.

From the homepage:

  • Click on Configuration

  • Then click on Master Data Management

A new window will pop up.

Scroll down to the Financials section and click on Payment Method.

Step 2: Understanding the Purpose

Payment methods define how your customers are expected to pay for goods or services.

Currently, this is an informational field, helping you structure financial documentation, reports, and workflows.

Looking ahead, Swiftly Workspace will support integrations with:

  • Global payment platforms like Stripe and PayPal

  • Local payment providers

  • And even direct integrations with local banks for direct debit transactions

Setting up your payment methods now will prepare your system for future automation and smoother financial operations.

Step 3: Creating a Payment Method

To add a new payment method:

  • Click the “+” button in the top right corner.

  • Enter the name of the payment method (e.g., Bank Transfer, Credit Card, PayPal).

You can also decide whether the method should be active immediately.

This allows you to create methods in advance and activate them once your finance team or systems are ready.

👉 In this example, we will leave the payment method inactive.

Click Save once done.

Step 4: Editing and Activating a Payment Method

To make updates or activate the payment method:

  • Click on the entry you created.

  • The detail/edit view will open.

Here, you can toggle the Active parameter, and then click Save to apply the change.

Use Save & Close only when you’re finished with all changes, as it will close the Master Data Management window.

Step 5: Reviewing Payment Method Logs

To view the history of changes:

  • Click the (i) button in the top right.

The logs panel will show you:

  • The user and timestamp of when the method was created

  • The user and timestamp of the last modification

  • A full history of all changes made over time

This ensures every update is traceable and auditable, supporting compliance and oversight.

You’ve now successfully:

  • Created a new payment method

  • Edited and optionally activated it

  • Reviewed the full log history
