How to Create Project Status in Swiftly Workspace
Step 1: Accessing the Project Status Configuration
Let’s begin by opening Swiftly Workspace.
From the homepage:
Click on Configuration
Then click on Master Data Management
A new window will appear.
Scroll to the Projects section and click on Project Status.
Step 2: Understanding the Purpose
Project statuses help you quickly understand the current state of any project.
Instead of manually tracking project updates, status values allow for clear, consistent reporting and filtering.
Each project status includes two toggle fields:
Annulled – for projects that are canceled or voided
Closed – for projects that are completed
Only one of these two options can be selected per status, ensuring mutually exclusive clarity in your reporting filters.
These toggles are especially useful for:
Dashboard filters
Reporting views
Segmenting active vs. inactive project lists
Step 3: Creating a Project Status
To add a new status:
Click the “+” button in the top right corner
Enter the status name (e.g., In Progress, Pending Approval, Finalized)
Next, choose whether the status is:
Annulled (for voided/canceled projects)
Closed (for fully completed projects)
Remember: you can only select one of these two options per status. If neither applies, leave both toggles off.
Decide if the status should be active immediately.
In this example, we’ll leave the status inactive until our team aligns on status usage.
Click Save once you’re done.
Step 4: Editing and Activating a Project Status
To make updates:
Click on the project status entry
This will open the detail/edit view
From here, you can:
Rename the status
Adjust the Annulled or Closed toggle
Change the Active status
Click Save to confirm your changes.
Use Save & Close only when you’ve finished all updates, as it will close the Master Data Management window.
Step 5: Reviewing Project Status Logs
To view the full history:
Click the (i) button in the top right
The logs panel will show:
Who created the status and when
The last user to change it and the timestamp
A complete record of all historical modifications
This supports auditing and version control, especially in project-heavy environments.
You’ve now successfully:
Created a new project status
Configured it using the annulled and closed toggles
Edited and activated the status
Reviewed the historical change log
