How to Create Contract Status in Swiftly Workspace
Step 1: Accessing the Contract Status Configuration
Let’s begin by opening Swiftly Workspace.
From the homepage:
Click on Configuration
Then select Master Data Management
A new window will pop up.
Scroll to the Contracts section and click on Contract Status.
Step 2: Understanding the Purpose
Contract statuses provide a quick and consistent way to understand where each contract stands in its lifecycle.
Step 3: Creating a Contract Status
To add a new contract status:
Click the “+” button in the top right
Enter the name of the status (e.g., Draft, Signed, Terminated, Fulfilled)
A Closed contract - is a contract that have been successfully completed or fulfilled
(Only one of these toggles can be selected per status. This ensures clarity in filtering and avoids conflicting status definitions.
These toggles are especially useful for:
Filtering contract lists in dashboards
Automating workflows
Ensuring reliable reporting of active or closed
You can also choose whether to make the status active immediately.
In this example, we’ll keep the status inactive for now, to be activated once reviewed by the legal or operations team.
Click Save to store the entry.
Step 4: Editing and Activating a Contract Status
To make changes:
Click on the status you created
This will open the detail/edit view
From here, you can:
Modify the name
Toggle Active or Closed
Adjust the Active setting
Click Save to confirm your updates.
Use Save & Close only when you’ve completed all your edits, as it will close the Master Data Management window.
Step 5: Reviewing Contract Status Logs
To track history and changes:
Click the (i) button in the top right corner
This opens the logs panel, where you can see:
When the contract status was created
Who made the last update and when
A full history of all changes for audit purposes
You’ve now successfully:
Created a contract status
Configured it with annulled or closed flags
Edited and activated the status
Reviewed the full change history
