How to export your data to CSV on iPhone or iPad
To export data on iPhone or iPad, open Administration, then Data Export, and tap + for a new session. Tick a record type under Entities, tap Continue, then choose Generate from the ⋯ menu. When the session shows Finished, save the CSV file to a folder in Files.
Each record type comes out as its own CSV file you can open in a spreadsheet app or send to your accountant. On a Mac? See how to export data on Mac.
Before you start
Data Export appears for roles that are allowed to export, which by default means admins; the Standard role doesn't include it. You can export customers, their addresses and contacts, vendors and theirs, items, customer and vendor documents and their lines, customer and vendor payments, and projects with their phases, work packages and tasks.
Export a record type in six steps
- Open Data Export. On iPhone, open the menu and, under Settings, tap Administration, then Data Export. On iPad, tap Administration in the sidebar, then Data Export.
- Start a session. Tap + (VoiceOver: New export session). The New Export Session sheet opens. A name and description under Details are optional.
- Pick the record type. Under Entities, turn on the record type you want, for example Customer. Continue stays unavailable until one is on.
- Check format and mode. The Format is CSV. Leave Mode on Data for your rows; Template gives a file with the header row alone. Tap Continue. The New Export screen opens; leave the filters empty to export every row.
- Generate. Tap ⋯ (Actions) at the top and choose Generate. The status shows Generating while the server builds the file, then Finished.
- Save the file. A save dialog opens when the file is ready. Pick a folder in Files, such as iCloud Drive or On My iPhone, and save. The file is named after the record type, such as
customer_export.csv.
Missed the dialog, or want another copy? Open the session again from the Data Export list: under Artifacts, Download Customer CSV saves the file once more. If you tick several record types in one session, Artifacts shows a download for each of them.
What is in the file
- A clean CSV in UTF-8 with a byte-order mark, so spreadsheet apps show accented names correctly.
- Readable headers such as Business Name, and reference values such as a status as their names, not codes.
- Your permissions apply. For customers, their addresses and contacts, and items, fields your role can't read are left out.

Going the other way
Export produces CSV; import accepts CSV or XLSX. The Template mode is a quick way to get the right columns for a file you plan to import, and how to use CSV import templates explains the rest. When a file you import uses its own names for things like customer types, AI-assisted lookup mapping helps match them to yours, and how to import on iPhone or iPad walks through the import itself.
Frequently asked questions
Can I export an XLSX file from iPhone or iPad?
No. Export produces a CSV file, which Numbers and other spreadsheet apps open. To keep leading zeros in codes or phone numbers, import the CSV into your spreadsheet and set those columns to text.
Where does the exported CSV go on my iPhone?
Wherever you choose in the save dialog: a folder in iCloud Drive, On My iPhone, or another location the Files app offers. Open it from the Files app afterwards.
Why don't I see Data Export under Administration?
Exporting has its own permission, which by default comes with the admin role. Ask an admin to export for you or to check your role.
