Change your invoice layout and brand color on iPhone or iPad
On iPhone or iPad, open Administration, then Document Theme. Pick a theme, set a brand color, choose a Default Document Language and an invoice layout under Invoices, then tap Save as Company Default.
On a Mac? See how to change the invoice layout and brand color on Mac. Not sure which layout to pick? How the Modern, Classic and Receipt layouts differ compares them.
Before you start
- Be the company owner. Anyone can open the screen, but the owner saves it. For anyone else, the save ends in a message that the owner has to do it.
- Have your color ready. A six-digit hex code from your logo or website, such as #3B5BFF, gives the most exact match.
Steps
- Open Document Theme. On iPhone, open the menu and, under Settings, tap Administration, then Document Theme. On iPad, tap Administration in the sidebar, then Document Theme in the next column.
- Pick a theme. Under Document Theme, choose Standard, Gold or Corporate. The theme sets the colors of headings and rules on every printed document.
- Set your brand color. Under Document Branding, type the hex code in the brand color field, or use the color well next to it and choose one. Leave the field empty to keep the theme's own accent; the clear button next to it empties it.
- Choose the document language. Tap Default Document Language and pick a language. It is used for the labels on documents for customers who have no preferred language of their own.
- Choose the invoice layout. Under Document Layouts, open the Invoices picker (VoiceOver: Invoice Layout) and pick Modern, Classic or Receipt. Credit notes and proformas follow the same layout.
- Save. Tap Save as Company Default. Document theme and layout preferences saved appears just above the button for a few seconds.
Check the result
Open a finalized invoice under Finance, then Customer Documents, and tap the PDF button at the top (VoiceOver: Preview PDF). The preview uses your saved layout, theme, color and language; it has no layout switch of its own on iPhone or iPad, so come back to Document Theme to try another. From the preview you can share or print the file: how to preview, share and print an invoice PDF on iPhone or iPad walks through it. No finalized invoice yet? Create and finalize one to have something to look at.
What each setting changes

Frequently asked questions
Why can't I save my invoice layout?
The layout and branding are company settings, and the company owner saves them. If you are not the owner, the save stops with a message saying so. Ask the owner to make the change, or to send you the details so they can enter them.
What happens if I type a color the app doesn't understand?
A message under the field says the brand color must be a six-digit hex value. The rest of your changes still save; just the color is left as it was, so correct it and save again.
Do I have to set the layout again on my Mac?
No. These are company settings kept in your workspace, not on the device, so the Mac and every other iPhone or iPad in the company use the same layout, theme, color and language once you save.
