How to add a customer with contacts on iPhone or iPad

To add a customer on iPhone or iPad in Swiftly Workspace, open CRM, then Customers, and tap +. Fill in the New Customer form and tap the checkmark to save. The same sheet then shows Addresses and Contacts tabs, where you add an address and a contact person.

The whole thing takes a couple of minutes. Working at a desk? See how to add a customer on a Mac, which follows the same order.

Before you start

  • Know what kind of customer it is. A company is a Business; a private person is an Individual.
  • Your company decides the fields. An admin can hide fields nobody uses, make others required, and set defaults. If a field in this guide is missing, it is switched off for your company; configuring forms per company explains how that works.

Add a customer in five steps

  1. Start a new customer. In the menu, tap CRM, then Customers, and tap the + button at the top (VoiceOver: Add customer). From anywhere else, the + at the top of the menu offers New Customer too. A sheet titled New Customer opens as a single form.
  2. Fill in the essentials. Under Customer Type, choose Business or Individual. Enter the Business Name (or Full Name for a person) and the Phone number. Depending on your company's setup you also see VAT / Tax ID, Status and Payment Terms. Defaults your company set are already filled in.
  3. Save. Tap the checkmark at the top (VoiceOver: Create customer). If something required is still empty, the checkmark turns into a warning triangle, and tapping it lists what is missing instead of saving. Once saved, the sheet stays open and the customer's tabs appear, including Addresses and Contacts.
  4. Add an address. Open the Addresses tab and tap + (VoiceOver: Add address). In New Address, pick the Type and fill in Address Line 1, Postal Code and City, or tap the magnifying glass (Search Address) to look the address up and fill the fields for you. If invoices go to this address, turn on Default Billing Address. Tap the checkmark (VoiceOver: Create address).
  5. Add a contact person. Open the Contacts tab and tap + (VoiceOver: Add contact). In New Contact, enter the person's name and an Email or Phone number; at least one of the two is required. Add a job title if you like, and turn on Primary Contact for your main point of contact. Tap the checkmark (VoiceOver: Create contact).

When you are done, close the sheet with the close button at the top (VoiceOver: Cancel). The customer is saved; closing just puts the sheet away.

On iPhone, the customer's tabs appear as a list you go back to between steps. On iPad they sit in a sidebar inside the sheet, so you move from Addresses to Contacts in one tap.

Why the form starts short

A new customer begins as one short form instead of a stack of tabs. Addresses, contacts and documents all belong to a customer, so they can be added once the customer exists, not before. Keeping the opening form short means you can save someone you just met in a few taps and fill in the rest later.

If your company marks extra fields as required, for example a credit limit for active customers, those fields appear on the same form so nothing blocks the save. For how to split customers, contact people and addresses sensibly, read structuring CRM data for B2B, and address autocomplete goes deeper into looking addresses up.

After you save

The customer now appears in your Customers list and in every place that asks you to pick a customer, such as a new invoice. To open the customer again, tap the row on iPhone or double-tap it on iPad. When it is time to bill them, creating an invoice on iPhone or iPad picks up from here.

Frequently asked questions

Why can't I see the Addresses tab yet?

An address belongs to a customer, so the tab appears once the customer is saved. Tap the checkmark, and the Addresses and Contacts tabs show up in the same sheet.

Why won't my new contact save?

A contact needs a name and at least an email address or a phone number. Fill in one of the two and tap the checkmark again.

Can I add a customer without a name?

No. A business needs its Business Name and a person their Full Name, plus the customer type. Most other fields depend on how your admin set up the form.

  1. How to add a customer with contacts and addresses on Mac

On a Mac, open CRM, then Customers, and click + (or press ⌘N). Fill in the New Customer window and click the checkmark; the window becomes the customer's own, where Addresses and Contacts in its sidebar let you add an address and a contact person.

  2. Configure your forms: hide the fields you never use

Configure each form to show the fields your business uses, require the few that must be filled, and give sensible defaults to the rest. In Swiftly Workspace, the Configure tables set Visible, Required and Default Value for every field, separately for each company.

  3. Customers, contacts and addresses: B2B CRM data structure

In a B2B CRM, the customer is the company you invoice, the people you deal with are its contacts, and each address is its own record, marked for billing or shipping. Company facts such as the legal name and VAT number live on the customer; personal details, on the contact.
