How to Create an Academic Degree in Swiftly Workspace

Step 1: Accessing the Academic Degree Configuration
- Open Swiftly Workspace.
From the homepage:
- Click on Configuration
- Then click on Master Data Management
A new window will pop up. Under the Contacts section, click on Academic Degree.

Step 2: Understanding the Purpose Academic degrees help you personalize communication with the highest level of professionalism. In many countries, it is customary—and often considered respectful—to refer to individuals by their earned academic titles such as Dr., PhD, MBA, and others.
Swiftly Workspace allows you to easily manage these degrees to ensure your emails, letters, and messages are aligned with local expectations and etiquette.

Step 3: Creating an Academic Degree
To add a new academic degree:
- Click the “+” button in the top right corner.
- Enter the degree name (e.g., PhD, Dr., MSc).
You can also decide whether this degree will be active immediately. This is helpful if you want to prepare the degree entry first and activate it later—for example, after your team has been informed or documentation is aligned. In this example, we will create the degree but leave it inactive for now. Click Save once you’re done.

Step 4: Editing and Activating an Academic Degree
To update or activate the degree:
- Click on the degree entry you created.
- This will open the detail/edit view.
Here, you can toggle the Active parameter to enable the degree for use. Click Save to apply your changes.

💡 Remember: Save & Close will exit the Master Data Management window. Use it only when you’ve completed all your edits.

Step 5: Reviewing Degree History
To review the change history:
- Click the (i) button in the top right.
This brings up the logs panel, where you’ll find:
- The user and date-time of the creation
- The last user and date-time of any changes
- A complete list of historical log entries below This ensures transparency and accountability in how your master data evolves over time.

You’ve now successfully:
Created an academic degree
Edited and optionally activated it
Reviewed the audit logs for traceability
