How to Create Price List in Swiftly Workspace
Step 1: Accessing the Price List Configuration
Let’s begin by opening Swiftly Workspace.
From the homepage:
Click on Configuration
Then select Master Data Management
Once the new window appears, scroll to the ITEMS section and click on Price List.
This is where you define sets of pricing for your items — often used to handle retail vs. wholesale pricing, promotional rates, or region-specific values.
Step 2: Understanding the Purpose
Price Lists help you manage and apply multiple pricing strategies for the same items.
They’re commonly used to:
Assign different prices to different customer groups or markets
Reflect promotional or seasonal pricing
Link item pricing to contract-based agreements
Simplify sales workflows by automating correct price selection
By using price lists, your team avoids manual pricing errors and ensures that each transaction reflects the right rate.
Step 3: Creating a Price List
To create a new price list:
Click the “+” button in the top-right corner
Enter the Name of the price list (e.g., Retail Price, VIP Clients, Asia Region Pricing)
Example: Let’s create a price list called VIP Clients.
This will apply special pricing for a select group of premium customers
We’ll enable the Active toggle so it’s available right away in item pricing workflows
Toggle the Active setting to on if you want the price list available for selection immediately
Only active price lists can be assigned to items or appear in transaction screens such as orders, quotations, or invoices.
Click Save to complete the setup.
Step 4: Editing or Deactivating a Price List
To make changes to an existing price list:
Click the name of the list to open its detail view
From there, you can:
Rename the list
Toggle Active on or off depending on availability
You might deactivate a price list when an offer expires, a regional pricing model is discontinued, or a tier is merged with another group.
Click Save to update, or Save & Close to apply and exit the configuration window.
Step 5: Applying Price Lists in Item Transactions
Once configured, Price Lists can be:
Assigned to items directly under item pricing
Pulled into transaction forms based on customer or sales context
Used to ensure consistent and error-free item pricing during sales and fulfillment
This keeps your pricing aligned, traceable, and ready for any customer or channel.
You’ve now successfully:
Navigated to the Price List module under ITEMS
Created and activated a new price list
Edited or deactivated price lists when needed
Learned how to apply price lists across sales and item workflows
