How to Create Customer in Swiftly Workspace

Step 1: Navigating to Customer Setup

To begin:

  • Open Swiftly Workspace

  • From the homepage, go to the Sales section

  • Click on Customer

To create a new one, click the “+” button in the top-right corner.

A new window will open where you can view, edit, or create customer records.

Step 2: Entering Customer Details

You’ll be presented with the Add Customer form. Now let’s fill out the fields using an example.

Name

Enter the official name of the customer.

Example: Greenway Diagnostics Inc.

Commercial Name (Optional)

If the company uses a brand name, input it here.

Example: Greenway Labs

VAT Number

Enter their VAT number for compliance and tax processing.

Example: BE0123456789

Step 3: Set Classification and Status

Classification

Choose how the customer should be categorized for filtering and workflow purposes.

Example: High-Value Clients– used for high-priority clients with strategic value.
 
Status

Select the customer’s current stage in your business lifecycle:

Example: 000 – Prospecting – meaning they’re still being qualified or onboarded.

You can also use:

  • 100 – New Customer – fully active clients

  • 200 – Deactivated – for churned or suspended customers

Only one status can be selected at any time.

Step 4: Define Customer Dimensions

Swiftly supports up to 8 customer dimensions. These are configurable levels that allow you to categorize and segment customers for analytics, permissions, or process flows.

Here’s an example setup:

  • Dimension 1: Industry → Healthcare

  • Dimension 2: Business Unit → Clinical Testing

  • Dimension 3: Department → Pathology

  • Dimension 4: Service Type → Toxicology Screening

  • Dimension 5: Package → Annual Diagnostic Panel

Each dimension can be set up in advance via Configuration > Master Data Management > Customer Dimensions.

Only active dimensions will appear as options.

Step 5: Save the Record

Once all fields are complete:

  • Click Save

  • The customer will be added to your workspace and available for use in proposals, invoicing, contracts, and project assignments.

You’ve Now Successfully:

  • Navigated to Sales > Customer

  • Created a structured customer profile

  • Applied classification and status for easy tracking

  • Used dimensions to segment and define customer attributes
